Tasks: college email

owa email logoThe Tasks feature allows you to create, monitor, and maintain an electronic to-do list. Basic lists of tasks can be maintained, or more in-depth detail can be added.

Create a Task:

  • On the folder list, click Tasks. The Tasks folder contents will display.
  • On the toolbar, in the Type a new task field, type the task name.
  • Press <enter>. The task will be added to the top of the task list.

Create a Task with details:

  • On the folder list, click Tasks. The Tasks folder contents will display.
  • On the toolbar, click the New tool. The Untitled Task window will open
  • In the Subject field, type the task name. The subject will display on the task list
  • Add details such as Priority, Start or Due Date, or Notes.
  • On the toolbar, click Save and Close. The task will be added to the task list.

Recurring Tasks:

  • On the Toolbar, click the Repeat tool. The Task Repetition window will open.
  • Select Daily, Weekly, Monthly, or Yearly.
  • Select the recurrence pattern that describes when your appointment will occur, such as Weekly on Wednesday.
  • Set the Start date: In the lower portion of the Task Recurrence window, in the Range of recurrence area, click the Start field down-arrow. A calendar will open.From the calendar, click the Start date. 
  • Set the End date: You can choose between setting a final end date or have the task end after a set number of occurrences. It is recommended that you do not select the No end date option.
    • To have the task end after a set amount of occurrences: In the Range of recurrence area, click the End after option.Type the number of times you want your task to recur.
    • OR To have the task end at a set date:In the Range of recurrence area, click the End by option.Click the down-arrow and from the calendar that appears, select the date that you wish the recurrence to end.
  • Click OK. The recurrence pattern will be applied to the task and the _Task Recurrence- window will close.
  • Click the Save & Close tool. The recurrence pattern will be saved and activated.
  • Recurring tasks display the circling arrows recurrence icon.

Sort Tasks:

Tasks listed in the Task Pane may be sorted by:

  • Due Date (default): sorts tasks by due date, if a due date has been assigned
  • Type: sorts tasks into type such as repeating vs. non-repeating tasks, flagged messages vs. tasks, etc.
  • Completed State: sorts by % complete, if a percentage has been assigned
  • Importance: sorts by importance (High, Normal, or Low), if an importance has been assigned
  • Attachments: organizes tasks into two groups: "With Attachments" and "No Attachments"
  • Subject: alphabetical sort of tasks by Subject
  • Flag: places flagged tasks at top of list

You can click the column heading to sort them or click the column heading again to sort in reverse order.

Mark a Task as completed:

  • In the Tasks Pane, in the Tasks list, place a check in the box next to the task. The task will be marked complete and will display with gray strike-through text and a completion check mark.
  • OR In the Content Pane, double-click the task. The task details will display. In the Status- field, click the down-arrow and select Completed. On the toolbar, click Save. The % Complete column will display 100%.
