Use The PRP For

The online Position Requisition Process is intended to be used for all full-time positions (Faculty, Administrative and PSRP) and permanent part-time PSRP positions that have been assigned a position number for the following actions:

  • Creating a New Position (this is not the new initiative process but creation of a position through reallocation of existing funds or positions)
  • Changing an Existing Position:
    • Position Status of Regular or Temp and Expected End Date
    • Expected End Date
    • Full/Part Time status
    • Position Type: PSRP, Admin, FT Faculty
    • Supervisor (Reports To)
    • Location Code
    • Working Title
    • Project/Grant Information
    • Work Schedule – only if change in total annual hours (If change in work times with no change in total annual hours the supervisor can work directly with the HR Rep)
    • Change in funding source, budget change and position chartfield change (as a result of other indicated changes)
  • Eliminating a Position
  • Filling a Vacancy - with or without changes to the position
    • Fill a Vacancy with no changes to the position
    • Fill Vacancy with Changes to the Position:
      • Position Status of Regular or Temp and Expected End Date (reference step for more details including how to request perm hire and interim assignment at same time)
      • Expected End Date
      • Full/Part Time status
      • Position Type: PSRP, Admin, FT Faculty
      • Supervisor (Reports To)
      • Location Code
      • Working Title
      • Project/Grant Information
      • Work Schedule – only if change in total annual hours (If change in work times with no change in total annual hours the supervisor can work directly with the HR Rep)
      • Change in funding source, budget change and position chartfield change (as a result of other indicated changes)
    • Fill on a permanent or interim basis (can do single position requisition to initiate both permanent hire process and interim assignment prior to completing permanent hiring process – see Step # 5 for how to request a permanent hire and interim assignment at same time).
  • Transfer a Position to Another Department
    • With or without changes to the position (for changes that can be made when transferring a position see Change an Existing Position)
  • Temporary or Short term assignments
    • FT Faculty, Admin and PSRP Interim or Emergency hire for a position that is vacant and will also be filled permanently (see Fill a Vacancy);
    • LTE PSRP Positions;
    • FT faculty hired under the MOU Provision (LTE).

 

DO NOT USE THE PROCESS FOR:

  • Actions that go through the Classification Process are handled by Human Resources: Please complete the Classification Process prior to creating a PRP.
  • FT Faculty Adjustments:
    • Educational Advancements
    • FT Faculty Load Adjustments
    • Summer School FT Faculty Assignments
    • Paid sabbatical
  • PSRP Adjustments
    • Work location changes with no other changes (for this you must contact your HR Rep)
    • Work schedule changes that do not change the FTE status: Total annual hours remain the same but start and end time or days of the week would be changing. Any change in total annual hours must go through the online position requisition process.
  • Department or Divisional Reorganizations that results in changes to groups of employees. NOTE: This will require a meeting with your HR Representative/HR Administrator and the Budget Office to map out the changes and determine next steps to process request. A CHECKLIST FOR THIS PROCESS IS IN DEVELOPMENT STAGE
  • FMLA Leave – requires HR notification to get FMLA approval. If backfill is being requested for person on FMLA, see Temporary Assignment.
  • Leave of Absence without Pay – requires HR notification to get FMLA approval if applicable or to notify of any unpaid absences. If backfill is being requested for person on leave without pay see Temporary Assignment.
  • Temporary Assignment (some instances call for usage, see prior page)
    • PSRP
      • Temporary assignment with a pay adjustment to backfill a temporary vacancy (incumbent will be returning):  For the following scenarios, work with HR Representative to process the action.
        • 100% of employee time is dedicated to temporary assignment; however the assignment might be all or part of the regular job responsibilities. 
        • Partial responsibility of 2 or more FT positions one of which is their permanent position.
        • Full-time filling in a for a PT position.
        • Part-time filling in a for a FT position.
      • Approved for temporary assignment pay per union contract; employee stays in current position and receives a temporary pay increase within the time limitation. Other than working with HR, no other action is required by the manager.
      • If a budget transfer is needed to cover the costs for the temporary assignments, the manager is required to identify funding and submit a one-time transfer request to the Budget Office. If the temporary assignments are to be funded out of a permanent position vacancy, the manager is required to submit a Request for One-Time Salary Savings Use Form/Process that can be found on the Budget Office website.
  • Casual
    • Filling in for a FT or PT PSRP Vacancy request - the manager needs to work with HR Representative to process the action. In addition, to fund the increase and have the budget transferred to cover these costs the manager is required to submit a Request for One-Time Salary Savings Use. Instructions for requesting one-time salary savings can be found on the Budget Office website.
  • The following temporary or short-term assignments MUST go through the online Position Requisition Process:
    • FT Faculty, Admin and PSRP Interim or Emergency hire for a position that is vacant and will also be filled permanently (see Fill a Vacancy);
    • LTE PSRP Positions;
    • Full time faculty hired under the MOU Provision (LTE).

 

NOTE:  For the actions that do not go through the online Position Requisition process, there will not be any permanent changes to chart fields, chart field allocations or FTE status, and there will not be any budgetary adjustments.
